Office Support Management (“OSM”) is a new function within Business Support Management (BSM) in CB Finance & Business Management. OSM is accountable for the processing and controls in support of employee movement, asset and application provisioning and real estate moves.
 
OSM also directly manages a centralized administrative team across MMBSI to promote superior business coverage, talent development and mobility, consistency of communication and objective performance evaluations and compensation.
 
The team works closely with respective business managers, senior management and all related support groups (Business Management, Finance, HR, Real Estate, Compliance, Technology, etc.) 
 
Key Responsibilities of the Office Support Manager position:
 
This position will support a regional segment within MMBSI performing key OSM accountabilities and includes management of 5-10 Administrative Assistants in the region.  They will also serve as a back-up for other segment OSM’s. The ideal candidate must have demonstrated leadership skills among their peers, be comfortable interacting with all levels of senior management.  They must have a strong knowledge of the Commercial Bank business processes and internal partners relevant to the role.   
 
Primary responsibilities include but are not limited to:
 
  • Manage and seamlessly execute end to end white glove onboarding to ensure an exceptional onboarding experience for new joiners.
  • Provision technology hardware, applications and market data
  • Perform a broad range of operational and control functions such as maintenance of floor plans, recertification of system entitlements and access, execution of real estate moves, manage technology asset capture and provide general white glove trouble shooting support for the business
  • Process off boarding, transfers and relocations
  • Work closely with the Sr. Regional OSM  to manage a small team of front office administrative assistants and ensure exceptional business coverage
  • Coach and mentor team members; motivate individual and team performance
  • Solicit performance feedback regularly and coach team members accordingly
  • Work collaboratively to develop meaningful admin objectives and document appropriate and timely performance check-ins
  • Address performance successes and concerns with Sr. OSM
  • Manage employee time and attendance
  • Communicate and relate important information to team members
  • Enforce a strong control/ compliance environment and continually identify ways to mitigate risk in the daily work

 

Position Qualifications:
The ideal candidate will be able to demonstrate the following:
  • 3-5 years of related experience
  • Recognized as a natural leader, coach, mentor  and valued partner to all constituents
  • Experience in a leadership/influence role is preferred. Direct management experience is not a requirement
  • Strong institutional knowledge of the CB; experience in MMBSI preferred
  • Effective interpersonal, communication and influence skills with all organizational levels.  Able to work effectively under pressure
  • Excellent judgment, professionalism and maintains confidential information
  • Exceptional organization, problem solving and process improvement skills
  • Highly proactive with the ability to manage competing priorities and follow through all tasks to ensure closure
  • Commitment to exceptional client service
  • Consistently role modeling the firm’s values and code of conduct
  • Focus on controls and mitigating risk factors
  • Project management skills to lead an initiative or play a support role on the broader team
  • Proactive in change management, looking for new ways to enhance the process
  • Strong command of Excel and PPT
