Job Summary:
As a member of the EMEA Regulatory Management team, you will be primarily responsible for maintaining the regulatory diaries for the interactions the firm maintains with its primary UK, European, and where necessary, US regulators. This role requires confidentiality, a strong work ethic, common sense, and a calm and proactive approach.  All applicants should have a solid PA or similar background and skill set with a strong degree of flexibility given the demanding nature of this role and be prepared to work in multiple locations within London.
Core Responsibilities:
  • Management of the Regulatory Diaries for the firm’s relationship with the UK Prudential Regulation Authority (‘PRA’) and the Financial Conduct Authority (‘FCA’).  This role involves the coordination of several hundred meetings a year with the firm’s UK regulators plus setting up and managing internal preparation sessions;
  • Setting up other regulatory meetings where required including with the US regulators and other EMEA wide regulators;
  • Establishing a good rapport and working relationship with the assistants at the PRA and FCA in order to get meetings set up efficiently and accurately;
  • Advanced, proactive multiple diary management, facilitating the setting-up of meetings
  • Proactively providing who/what/why for all meetings booked and preparing the attendees with information and materials in advance
  • Complex, high volume email management
  • Meeting, conference calls, telepresence set up - internally and externally
  • System functionality expert - utilise internal systems, complete accurate data entry into internal management information systems and responsible for accurate collation of information to senior management
  • Become integral part of the Compliance department, understand group priorities and expectations
  • General administration duties (room bookings, printing and production, filing, photocopying, faxing)
  • Assist with preparation of presentations
  • Assist with agenda management for team meetings, and maintenance of distribution lists
  • Partnership with assistants across the department to provide coverage for absence where necessary.
Knowledge, skills and experience required -
  • Professional client handling and relationship building with colleagues and compliance management
  • Full competency in diary management, can apply good judgment and has an understanding of competing priorities
  • Strong, executive communication style
  • Prior experience in a regulatory relationship management role and facing the regulators to arrange meetings
  • Substantial experience in supporting senior executives (and their teams).
  • Can demonstrate pro-activity and ownership within a role
  • Strong technical capabilities, an interest in using technology for efficiency.
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively with peers.
  • Exhibits a positive, common sense, constructive and effective time management skills
  • Versatile and dynamic to support senior management team. 
  • Can follow up without prompting and keep 1 step ahead of arrangement and requirements, displays good use of initiative and follow through to completion.  Excellent organisational skills and discretion with confidential information.
  • Ability to manage many competing priorities at the same time and to be able to prioritise effectively.
  • Has a high level of attention to detail and delivers high quality results, including the ability to prepare correspondences independently.
  • Solution orientated. Willing and open to change.
  • Is driven and can manage expectations through communicating proactively and often across different hierarchies
  • Ability to keep calm in a sometimes pressured working environment and to continue to deliver results.
  • Can quickly grasp the political landscape and key people within the organization
  • Able to work with limited supervision.
