We have a challenging, busy and varied role available within our Asset Management - Global Investment Management business for which we are seeking an experienced Administrative Assistant. 
 
Responsibilities include the following:
  • Managing staff on-boarding & off-boarding logistics
  • Assisting and/or leading the organisation of events
  • Team travel arrangements, coordinating logistics for business trips, preparing itineraries and maintaining group leave records
  • Invoicing and processing of expense claims and related record-keeping
  • Professionally fielding phone calls, addressing issues or redirecting as appropriate, and distributing messages in a timely and appropriate manner
  • Providing general support including photocopying, booking meeting rooms, stationery re-ordering, typing, filing, mail, etc
  • Assisting in ad hoc project administration support when required
  • Organisation of client meetings and printing presentations
  • Diary management and arranging meetings
  • Following procedures in relation to headcount eg starters/leavers/transfers etc
  • General day-to-day office functions  
  • You will be expected to work as part of a larger administrative group, from time to time, cover for other assistants on the platform will be require.
Knowledge skills and experience required:  
  • Previous experience in secretarial field, preferably working experience in the banking / financial industry essential
  • Experience of managing international travel for a large team is crucial
  • Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint; knowledge of Outlook preferred)
  • Knowledge of general office procedures
  • Effective interpersonal skills - able to work in a busy and high pressure environment
  • Superior oral and written communication skills
  • Excellent telephone manner
  • Excellent interpersonal skills, organisational skills and attention to detail
  • Ability to organise and manage own time effectively
  • Proactive and flexible attitude with the ability to be a team player
  • Tact and good judgement and the ability to interact with senior management
  • Ability to multi-task in a busy and demanding role
  • Flexibility around working outside contracted hours when required 
  • Experience in managing relationships across all levels
  • Able to work under pressure and tight deadlines.
