Description:
As a member of the Iberia HR team you will partner closely with the Head of HR in location and HR colleagues to develop and provide HR solutions based on business priorities.  You will support the day-to-day HR activities by offering assistance to team members and ensuring transactions are executed in a timely, efficient and productive manner. 
 
Specific responsibilities will include:
  • New Hires:
    • Liaising with Lateral and Graduate recruitment teams and the business on open roles ensuring timely posting of requisitons.
    • Working with the HR Location Head to agree grade, contract type and salary.
    • Supporting the team with managing Onboarding administration items i.e. welcome pack, benefits enrolment, systems update etc.
  • Leavers:
    • Provide support during the leaver process including exit interviews, severance calculations, coordination of internal transfers and ensuring timely offboarding of employee’s on HR systems and Payroll.
  • Data and file management:
    • Update Employee Data Management changes on HR systems in a timely basis, ensuring good quality of data and updates are also reflected in Payroll system.
    • Maintain employee files and produce work certificates / references.
    • Manage reporting needs for HR team, producing and analysing reports and preparing presentations for the various location monthly / quarterly meetings.
  • Employee Relations:
    • Provide support to the HR Location Head when liaising with local labour advisors and ER teams on new regulatory / legal changes, disciplinary warnings, annual policy and guideline revisions etc.
    • Ensuring letter templates and policies are updated in a timely and accurate manner.
  • Year-end Process:
    • During year-end running the IC and Salary reports to determine planning progress and working with the HR Location Head to determine cases that require further discussion.
  • Expatriate management:
    • Initiate expatriate assignments - following up with business and Expat team as appropriate.
    • Applying internal policies to specific cases and ensuring local teams are aware and comfortable of Expat moves.
  • Compensation and Benefits:  
    • Provide administration support on local benefits plans and annual renewals i.e. medical insurance, pension plan etc.
    • Respond to employees’ queries relating to Benefits in a timely manner.
  • HR Service Delivery:
    • Provide ad-hoc support to the HR team for delivery of HR services, including where necessary providing assistance with Payroll, Accounting, Benefits and Onboarding / Offboarding deliverables and tasks.
Skills: 
  • Flexible and a strong team player
  • Pro-active attitude to problem solving and execution
  • Fluent in Spanish and very high level of English (essential)
  • Excellent administrative and numeracy skills
  • Attention to detail
  • Proven ability to meet deadlines and manage high workload volumes
  • Ability to work under pressure, multi-task and adjust to changing priorities
  • Advanced PC skills in Excel, Word and Power Point 
  • Ability to handle highly confidential and sensitive information
     
    Essential:
  • No work experience required, but has to be eligible for a “Contrato en Prácticas” (i.e. graduated within the last 4 years and with no more than 1 year previously under a Contrato de Prácticas”)
  • This role is part time, for 19 hours per week
