The Private Bank EMEA Emerging Markets Group is currently looking for a Team Assistant to support the Russia Advisors based in London, UK. The Assistant will perform diverse administrative functions requiring confidentiality, initiative and sound judgment. The successful candidate will possess structure, attention to detail, focus, confidence learning new software programs, high energy and flexibility to a high-paced deadline-driven organization. This individual will need to work well in a team environment and be able to represent the team with professional courtesy and acumen. The duties and tasks will be varied and complex, requiring the use of IT systems, judgment and a can-do attitude to successfully accomplish tasks with limited supervision.  


Some Key Responsibilities:

  • Providing comprehensive administrative support to 6 Senior bankers and investors and 3 mid-level advisors in the Russian team.
  • Team travel arrangements, coordinating logistics for business trips and preparing itineraries including but not limited to booking air- and train tickets, hotels, taking care of visa arrangements, booking cars and taxis.
  • Diary management and arranging internal and internal meetings.
  • Client Data Analysis and Data Inputting to IT systems.
  • Monitoring and assisting phone calls within the team, ensuring phone coverage at all times.
  • Invoicing and processing of expense claims and related record-keeping. Ensuring that expense statements are within the 30 days requirements and also billing back various expenses back to fund billing.
  • Managing staff on-boarding & off-boarding logistics.
  • Providing general support to the team including photocopying, room bookings, stationery re-ordering, typing, filing, post, and other office management responsibilities.
  • Working as part of a larger administrative group to provide absence cover for other assistants.
  • Updating various marketing materials on a monthly basis.
  • Helping organize marketing trips or road shows for the latest investment ideas.
  • Maintaining group leave records and other internal databases
  • Assisting in ad hoc project administration support when required.




Knowledge, skills and experience required:

  • Fluency in both verbal and written Russian language is preferred.
  • Prior experience providing administrative support to a team of senior level managers, and experience with a top-tier asset managers or bank preferred.
  • Strong IT skills -proficient knowledge of MS Word, Excel, and PowerPoint, familiarity and adaptability with firm-wide IT systems e.g. expense management systems.
  • Strong multi-tasking and adaptive skills, ability to work under pressure and execute on tight deadlines.
  • Positive demeanour and a ‘can-do’ attitude.
  • Tact and good judgment in confidential situations and proven experience interacting with senior management.
  • Strong team player - ability to organize and manage own time with minimal supervision whilst working effectively in a team
  • Superior oral and written communication skills - able to generate high quality polished messages to individuals at all levels of the organization
  • Ability to network in the organization and troubleshoot with own initiative.
