As a Senior Executive Assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a manager or a team of principals. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. Duties may be expanded to include coordinating meetings (international and local), coordinating extensive international travel arrangements, preparation and submission of expenses, ordering and maintaining supplies. Additionally, you will exercise independent judgment, escalating serious or unique problems to higher levels. You may provide direction and guidance to less experienced team members. You may gather and analyze data to complete independent assignments

 

• Proficiency with Microsoft Office Suite (Word, Excel and PowerPoint), MS Outlook,
• General comfort level with Internet/Intranet (i.e. Google Search) usage and ability to learn proprietary software
• Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
• Ability to adapt procedures, processes and techniques to the completion of assignments
• Exceptional follow-up and follow-through skills
• Advanced ability to organize
• Tact and good judgment in confidential situations and proven experience interacting with senior management
• Self-starter, extremely organized and detailed-oriented with strong commitment to accuracy
• Responsive and reliable
• Ability to multi-task and manage priorities effectively
• Ability to work both independently and as a team player
• Good judgment and problem solving skills
• Superior oral and written communication skills
• Telephone coverage and excellent telephone etiquette
• Proven tact and good judgment in confidential situations
• Effective interpersonal skills
• At least five years of administrative experience and meeting coordination
• Fluency in Spanish required
