Purpose of Job
 
To provide secretarial and administrative support to team members in the above lines of business
 
Some Key Responsibilities:
 
  • Screening of incoming calls and attending to matters.
  • Render varied secretarial assistance to teams, including diary management
  • Render assistance in organising wellness days, staff initiatives, events, scheduling staff/ graduate training and new employee induction meetings.
  • Coordination of the monthly meetings including collating the management packs in advance of the meetings, and taking accurate minutes during the meeting (when required).
  • Typing, compiling, collating, updating and formatting of documents, spreadsheets and presentations.
  • Assisting team members from other locations whilst in Johannesburg
  • Arranging international and local travel bookings including travel visa’s and other required documentation for the department
  • Co-ordinate complex overseas and local itineraries for relevant team members/guests
  • Capturing LOB invoices and T&E’s on Concur for payment and follow up on any queries relating to these payments
  • Ensuring that team members’ corporate cards are paid in a timely manner to avoid interest charges
  • Monthly reconciliation of corporate card statements for team members
  • Raising all IT related systems request as and when required using IBID and EURC systems
  • Ordering and distributing stationery for the area according to procedures
  • Follow-up on queries and providing comprehensive feedback to team members in a timely manner.
  • Maintaining files and correspondence (electronic and other) up to date
  • Updating of schedules (leave, training, calling tree etc)
  • Provide secretarial / admin cover when required for the Assistant pool
     

 

 
Knowledge, skills and experience required:
 
  • Solid PA experience requires
  • Attention to detail
  • Highly organised with outstanding time management
  • Well-developed written and oral communication skills and an ability to deal effectively with people at all levels.
  • Diplomatic with sound interpersonal skills
  • Team Player
  • Strong organisational and administrative skills
  • Experience with complex travel & expense claims
  • Experience with minute taking (an advantage)
  • Ability to work pro-actively without close supervision
     
    Computer Literacy:
    Ms Office Suite (Excel, Outlook, Word, Pitchpro)
    Concur invoice and T&E processing (training will be provided)
