Global Document Services (GDS) is the corporation's primary print production and distribution unit for JPMorgan Chase.  Global Document Services (GDS) prints, inserts and mails over 1.1 billion mail pieces annually.  GDS supports internal lines of business such as Retail, Card Services, Retirement Plan Services, Private Bank and Treasury Services.  GDS produces a wide variety of products including postcards, letters, statements, checks, invoices and marketing material originated from its internal composition team as well as documents created by Output Systems.
The group's primary functions include, but are not limited to, the following:
  • Coordinating, reviewing, and extracting data files from various lines of businesses within JPMorgan for mail distribution
  • Offering clients the following services:
    • First Class Mail presentment
    • Standard Class Mail presentment
    • Ecertified Mail presentment
    • USPS Express and USPS International Express Mail presentment
    • Fed Ex Letter/Packages/Freight presentment
    • UPS Letter/Packages/Freight presentment
    • Track One and Inner Office mail presentment
  • Providing and validating reconciliation of all files received daily and meeting client service level agreements
  • New business management to onboard new products
  • Change management to support technology and process improvements and document changes

Job Description
As an Operations Sr Specialist III, within any of the departments, you will be seen as a leader by operators and your job performance will be graded by the team’s overall performance in productivity and quality.  As a leader within this department, you will be required to work a variable schedule as deemed by production needs.  GDS is a 24hr/6day operation, including holidays. The schedule for this position is 4:00pm - 12:30am Monday through Friday.
  • Able to lift 40-70lbs and deliver 200 lb supplies utilizing industrial pull/push carts
  • Able to stand 8 to 10 hours per shift
  •  Willing to participate and maintain departmental work area maintenance (5S)
  •   Assist supervisory and management team in communication process changes and operational requirements
  •  Side-by-side training and coordination of any/all new hire training
  •  Participating in daily/weekly audits to gather and report statistical information to management
  •  Must be able to work overtime, as needed, along with Holidays and Weekends
  • Must be able to stand/walk for long periods of time
  • Must be team-oriented with strong interpersonal skills
  • Oversee associates responsible for producing mail in a high capacity, fast-paced, automated environment with an emphasis on Quality and Productivity
  • Research and provide recommendations on performance error investigations, root cause, and resolution
  • Validate production’s input and output on a daily basis, with an emphasis on risk control measures
  •  Maintain and ensure GDS standard operating procedures are followed at all times
  • Oversee shift operations and pass on updates, informing Supervisors/Managers and peers of current day’s process delays or breakdowns
  • Resolve issues related to production and/or quality
  • Ensure that all department and bank guidelines are followed as they relate to operations, internal audit and security, and general management practices
  • Meet and or exceed all internal Service Level Agreements (SLAs)
GDS Processing Department Descriptions
Manual Document Processing Operations
  • Manually process documents end-to-end that are not supported by the automation process, including hand folding, stuffing, sealing, and metering of mail
  •  Assist with the interpretation and capture of UPS, FedEx and USPS shipping requirements
  •  Escalate and report all matters delaying the timely processing of printed data files
  •  Establish and maintain strong client relationships with Print, Insertion, and Dispatch.
Print Operations
  •  Daily coordination of document printing utilizing various state of the art printers (i.e., Canon, Xerox, Ricoh, IBM), in a Roll to Roll and Roll to Fold environment
  • Monitor print queues to support production prioritization based on customer service level agreements
  • Monitor  Videk camera technology that monitors printer output
  • Maintain a printer’s color consistency and output quality at all times
Insertion Operations
  • Daily machine operations utilizing Pitney Bowes and Bell and Howell high speed insertion equipment to process statements and letters
  • Ongoing validation of material quality and output quality
  •  Input vs. Output reconciliation utilizing basic math
Verify/Dispatch Operations
  • Move pallets of mail from production to shipping area, utilizing pallet jack equipment
  • Work with all mail couriers and their deadlines
  • Interoffice mail preparation and daily metering of mail
  • Data reconciliation and entry of production tickets
Warehouse Operations
  • Complete order requests for materials to support the production floor
  • Load and unload materials utilizing automated forklift machinery
  •   Coordinate recyclable material and containers for vendor presentment
  • Daily scanning entry, reconciliation and inspection of all incoming materials
 Quality Assurance
  • Validate production’s input and output on a daily basis, ensuring compliance with regulations, corporate policies, Lines of Business policies, and GDS Standard Operating Procedures
  • Partner with project teams, project managers, and remediation teams to assist/advise as to new product processing/testing
  • Assist in defining root cause analysis reporting
  • Analyze end-to-end processes and provide process recommendations where controls are needed
  • High school diploma preferred, or five years of production environment work history
  • Problem solving and analytical skills required, with ability to think independently
  • Self-motivated, proactive, proven ability to learn
  • Ability to effectively multi-task and work under pressure
  • Excellent time management and organizational skills
  • Ability to act on own initiative, be accurate, reliable and demonstrate confidence in processes
  • Strong verbal and written communication skills for interaction with various areas of the firm and levels of management
  • Candidate must be control-oriented and have a keen eye for detail
  • Strong team player with the ability to work in a global matrixed organization
